Working with a Symbol Course – Booking and Cancellation Terms

These terms apply to individual and small-group Working with a Symbol courses. In matters concerning course booking, delivery and cancellation, these terms take precedence over the online shop's general terms. Consumers always retain their rights under mandatory legislation. The version of the terms in force when the order is placed applies to that order.

1. Course content and delivery

The course includes seven sessions and the Working with a Symbol workbook in PDF format for each participant's personal use.

An individual course session lasts approximately 75 minutes. A small-group course session lasts approximately two hours, and the group consists of 3–6 participants. Exercises are mainly completed independently between sessions.

The course is held in Espoo or online, as agreed. A separate quotation is provided for courses held outside Espoo. Online participation requires a working internet connection and a device suitable for audio and video calls. Joining instructions are supplied before the first session.

2. Booking and payment

The course can be purchased from the online shop, or its format and provisional schedule can be agreed before purchase. In the online shop, the contract is formed when the customer places and pays for the order. The order is confirmed by email.

The total price of the individual course is €690. The small-group course costs €290 per participant. The stated consumer prices include applicable VAT. No delivery charge is added to the stated price of a course held in Espoo or online.

The group organiser places the order in their own name, is responsible for the entire group's course fee and acts as Semiphoras Oy's contracting party and contact person. One product represents one course for the entire group. Depending on the number of participants, the total group price is €870 (3 people), €1,160 (4 people), €1,450 (5 people) or €1,740 (6 people).

For a course arranged on the basis of a separate quotation, the total price, delivery arrangements and payment method are confirmed before the contract is formed.

3. Schedule, commencement and supply of materials

Session times and the course format are agreed with the participant or group organiser. Sessions are recommended to take place approximately one week apart. If a suitable schedule or format cannot be agreed and the course has not started, the order may be cancelled and the course fee will be refunded in full.

The course normally starts only after the 14-day cancellation period has ended. The PDF workbook is supplied at the start of the course.

Starting during the cancellation period requires a separate, express request from the customer. Before the course starts, the customer is informed of any proportionate charge that may be payable for teaching already provided. The request and the related information are confirmed by email. Simply accepting these terms does not constitute a request to start the course during the cancellation period.

4. The consumer's 14-day right to cancel

A consumer may cancel the course contract within 14 days of its formation without giving a reason. The day on which the contract is formed is not included in this period. If the final day falls on a Saturday or public holiday, the period extends to the next working day.

Semiphoras Oy also grants this right where session times have been agreed before purchase and the statutory exception for leisure services provided on a specific date could apply to the course. Any cancellation period longer than the statutory period remains in force if it arises, for example, from incomplete pre-contract information.

Notice may be sent to minna.kirsi@semiphoras.com or info@semiphoras.com, submitted through the online shop's cancellation function or given in another unambiguous way. The notice must identify the person who placed the order and the order being cancelled. No reason for cancellation is required. Sending the notice before the period expires is sufficient.

If teaching has not started, the course fee will be refunded in full. Supplying the PDF workbook included in the course does not, by itself, remove the right to cancel the entire course, and no separate charge is made for the workbook in this situation.

If teaching has started during the cancellation period at the customer's express request and the customer has received the required pre-contract information, a reasonable proportionate charge may be made for teaching already provided. This is based on the proportion of the seven sessions already delivered and the course price paid; a partially completed session is taken into account in proportion to its duration. No separate charge is made for the PDF material. If the statutory conditions for such a charge have not been met, no charge will be made.

Payments will be refunded without undue delay and no later than 14 days after receipt of the cancellation notice. The refund will be made using the same payment method as the original payment, unless another method that incurs no cost is agreed with the customer.

5. Cancelling or discontinuing the course after the cancellation period

Notice of cancellation or discontinuation of the course must be given as soon as possible. Non-attendance does not in itself constitute notice of cancellation.

A proportionate share of the course price paid may be charged for teaching already provided. For the undelivered portion, only reasonable and justified costs or losses caused by the cancellation may be charged. Semiphoras Oy will seek to limit these. Costs saved and any income from a replacement booking will be taken into account, and the same cost or loss will not be charged twice.

No separate cancellation charge is made for the PDF workbook. The charge cannot exceed the course price paid. The customer will receive a breakdown of any charge and the amount to be refunded.

Sudden illness or another significant unexpected circumstance will be taken into account when assessing what is reasonable. The possibility of continuing the course at a later date will also be considered in such cases.

6. Rescheduling individual sessions

An individual session can be rescheduled free of charge by giving notice at least 24 hours before the agreed time. A new time will be agreed together.

Where notice is given later, efforts will be made to find a new session time. If a session does not take place for a reason attributable to the participant, any charge will be assessed on the basis of the reasonable costs and losses incurred. The full session price will not automatically be charged for a session that does not take place. Any charge will be accounted for within the course fee and will not be charged again separately.

Sudden illness and other exceptional circumstances will be considered on a case-by-case basis. This section does not restrict the right to cancel under section 4.

7. Small-group course arrangements and changes to participants

The organiser assembles the group and passes on the course content, terms, schedule and practical instructions to participants. Changes and cancellations concerning the entire group's contract are made through the organiser. This does not restrict any mandatory rights that a participant may have.

As a rule, an individual participant's absence does not cause a group session to be rescheduled, reduce the course price or entitle the participant to a replacement individual session. Rescheduling a session for the entire group may be agreed if the new time suits the facilitator and the group.

A change of participant before the course starts may be agreed at no extra charge. Once the course has started, any change is agreed separately, taking into account continuity of the work and the group's confidentiality.

Changes to the number of participants must be notified before the course starts. If the number decreases but at least three participants remain, the new course price is calculated at €290 per participant. Only a justified charge caused by the change, in accordance with section 5, may be deducted from the difference. No cancellation costs under section 5 are charged during the cancellation period under section 4.

If fewer than three participants remain, the options are to add participants, agree on a different format or cancel the booking in accordance with these terms. The format or price will not be changed without the approval of the person who placed the order.

After the course has started, reducing the number of participants does not automatically reduce the agreed total price. Any refunds for partial discontinuation will be assessed in accordance with section 5. The number of participants may be increased to a maximum of six by mutual agreement.

8. Courses outside Espoo

The course may be held at the customer's own premises or another agreed location. A quotation must be requested before placing an order.

The quotation states the total price and any travel, accommodation and other arrangement costs. Sections 4 and 5 apply to the cancellation of costs specified in the quotation. No additional costs will be charged without the customer's approval.

9. Changes caused by the facilitator and defects in the service

If the facilitator has to reschedule a session, for example due to illness, a new time will be offered at no extra cost. The location, online or in-person format, or other material aspects of the agreed content will not be changed unilaterally.

If a replacement time or format cannot be agreed, the price paid for the undelivered portion will be refunded. If the entire course is cancelled before it starts, payment will be refunded in full. In the event of a material breach of contract, the customer may have a more extensive right to terminate the contract.

The course must correspond to the agreed content and delivery arrangements. The customer's rights to have a defect remedied, to a price reduction, to terminate the contract and to compensation for damages are determined by applicable legislation. These terms do not restrict those rights.

10. Course material

The PDF workbook is included in the course price and remains available for the participant's personal use. It may be saved and printed for their own work.

The material may not be distributed, sold or shared with others without the rights holder's permission. This does not restrict use permitted by copyright law. If the course contract is cancelled in full and the course fee is refunded in full, the right to use the material obtained through the course also ends, and the supplied file and any personal printouts must be deleted.

Supplying the PDF material does not, in itself, remove the right to cancel the course contract. No separate charge is made for material included in the course in the event of cancellation or discontinuation.

11. Confidentiality

Participants undertake to treat other people's personal experiences shared in the group as confidential and to respect each other's privacy. The facilitator also treats participants' personal experiences as confidential, subject to obligations required by law.

Sharing one's own experiences is voluntary. Sessions may not be recorded without the prior consent of everyone concerned. Group confidentiality cannot be guaranteed on behalf of other participants.

12. Nature of the service

The course teaches the Working with a Symbol method and is an educational course based on independent work. It is not psychotherapy or a healthcare service.

Disputes will primarily be addressed through negotiation. If necessary, a consumer may contact Consumer Advisory Services and refer the matter to the Consumer Disputes Board within its jurisdiction.
